About the Role
I am looking for a highly organized, emotionally intelligent Virtual Assistant who is also comfortable using AI tools (especially ChatGPT) to support me across three interconnected areas of work:
a fast-growing Substack newsletter and brand
my consulting practice
Executive + personal operations – email, scheduling, task management, life admin
You will help simplify workflows, streamline publishing cycles, support client operations, and use AI to make processes smoother and more efficient.
This is not a writing-heavy VA role.
I write my newsletters myself.
Your job is to support the operational side: formatting, scheduling, organizing, tracking tasks, and using AI to help systematize the work.
This is ideal for someone who is detail-oriented, tech-comfortable, and able to hold emotional sensitivity in a brand centered on leadership through loss.
Responsibilities
1. Newsletter (Operations + Publishing Support)
Format and schedule Substack newsletters and Saturday reflections
Optimize Substack posts (tags, settings, segments)
Maintain a publishing calendar and help keep deadlines on track
Prepare IG + LinkedIn posts using provided content
Keep an organized archive of past writing and content assets
Use AI to gather summaries, outline structures, and repurpose older material
Track content analytics and audience engagement patterns
Support simple digital offerings (holiday bundles, workshops, product fulfillment)
Develop materials via Canva, Google Docs, etc.
Light website support and development
2. Consulting Operations
Assist with proposal formatting and refinement
Use AI to outline talking points or summarize client notes
Maintain project timelines and deliverables
Organize documents, slides, and key correspondence
Support scheduling and client coordination
Draft simple follow-up messages for approval
3. Executive & Personal Operations
Manage inboxes and draft responses for approval using AI
Calendar coordination and scheduling
Maintain a clear master task list
Prepare weekly priority summaries
Support light life admin (digital errands, appointment coordination, travel prep)
Keep my digital files organized in Google Drive and Gmail
4. AI-Assisted Workflow Support
You do not need advanced technical skills.
Just comfort, curiosity, and confidence using AI tools to make work easier.
You will:
Use ChatGPT to polish or refine drafts after I write them
Generate checklists, summaries, templates, and workflows
Help me build simple operational systems using Google Workspace
Recommend efficiencies or automation opportunities as they arise
Collaborate with AI to support content repurposing
Ideal Candidate
Experience supporting executives, founders, consultants, or creators
Strong organizational skills and extremely high attention to detail
Confident using AI tools (ChatGPT, Claude, etc.) to support workflows
Excellent written communication and formatting abilities
Comfortable working with leadership + grief-centered content
Emotionally intelligent, calm, proactive, and anticipatory
Familiar with Substack or willing to learn quickly
Comfortable with Canva and Google Workspace
Not required: Notion, Airtable, or any complex tech stack.
