Administrative Assistant
Rutgers University is a premiere, Research 1 institution seeking an Administrative Assistant for the Educational Opportunity Fund (EOF) program within the School of Arts and Sciences. The role involves providing high-level administrative support to the EOF Program and leadership team, managing various administrative tasks, and assisting students, faculty, and staff.
Responsibilities
- Processes various administrative documents and internal and state databases
- Assists with department wide-events, programs, marketing, and staff trainings
- Provides support to students, faculty, and staff that need assistance with program wide information
- Performs various tasks related to procurement, HR, and financial transactions
- Creates routine informational materials
- Arranges meetings and associated logistics, provide information, greet, and direct visitors to proper destinations, organize schedules, make appointments and reservations, maintain records and files, prepare supply orders
- Monitors daily staff attendance, supervises work study students and student colleagues
- Carries out routine and non-routine tasks with occasional review of work outputs by supervisor
- Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of departmental administration and program coordination
Skills
- A bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing
- Good communication skills and computer literacy
- Understand how to prioritize in fast paced environment as well as work with students in a higher education setting
- Proficient in Microsoft office (Word power point, excel, outlook, etc.)
- Must communicate effectively with students, staff, and faculty in a professional manner at all times
- Previous work experience with general budget applications
- Experience in supporting higher education and professional development programs
- Knowledge of University academic and professional development processes /standards
- Familiarity with learning platforms (Canvas, etc.) and with cornerstone/HCM
