About the Role

The Customer Service Representative/Order Entry position at arenaflex is a critical component of our customer-facing team. As a dedicated and proactive professional, you will be responsible for delivering exceptional service and support to our clients, while also ensuring the timely and accurate entry of orders, shipments, and invoices. Your effective communication and problem-solving skills will be essential in resolving customer inquiries, addressing concerns, and providing product support. Key Responsibilities

  • Order entry and management, ensuring accuracy and timeliness
  • Coordinating order shipments, including freight quotes and carrier communications
  • Preparing and sending invoices to clients, while also managing payment inquiries
  • Providing first-touch customer and sales representative communications via phone and email
  • Offering product support, including basic troubleshooting and issue resolution
  • Managing outbound PO communications and coordinating with suppliers
  • Fielding customer inquiries, resolving issues, and escalating concerns as needed
  • Coordinating shipping and stock transfers, including sample fulfillment
  • Responding to customer sales inquiries, providing product information, and promoting arenaflex services
  • Conducting stock level checks, communicating shipment status changes, and resolving issues with sales representatives
  • Performing other duties as assigned by the Director of Operations, including special projects and initiatives

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • Experience with Microsoft Office software, including Word, Excel, and Outlook
  • Proficiency in data entry, with attention to detail and accuracy
  • Excellent verbal and written communication skills in English, with the ability to engage with customers and colleagues effectively
  • Ability to type efficiently while engaging with customers, with a high level of accuracy and productivity
  • Strong problem-solving skills, with the ability to think on your feet and resolve issues promptly
  • Great time management skills, with the ability to complete tasks in a timely manner and prioritize multiple responsibilities
