About the Role • This is not just data entry. • You’ll sit at the center of procurement, accounts payable, and logistics coordination — ensuring purchase orders, supplier invoices, freight tracking, and licensing are handled accurately and proactively. • You’ll be the calm, organized engine behind the scenes making sure nothing falls through the cracks. Your Key Responsibilities: • Create and issue purchase orders (post-approval). • Send POs to vendors and track dispatch progress. • Coordinate freight and delivery with onsite staff. • Update HaloPSA tickets and internal systems. • Alert technicians when stock arrives. • Send templated delivery updates to clients. • Manage bulk and custom-to-order logistics. • Allocate supplier invoices accurately. • Ensure 3PGS invoices are correct. • Manage license renewals to prevent over billing or unused licenses. Requirements About YOU • You are structured and proactive. • You don’t wait for problems — you prevent them. • You follow up without being asked. • You notice when something doesn’t match. • You’re comfortable communicating with vendors, technicians, and clients — professionally and clearly. About YOUR Work History • 2+ years’ procurement experience. • Experience in accounts payable or bookkeeping. • Strong administrative capability (data validation, ticket updates, tracking). • Confident managing POs, invoices, and supplier communications. • Experience identifying and resolving process issues. Nice to have • HaloPSA experience. • Datto Commerce experience. How YOU Will Be Measured • Accuracy of POs and invoice allocations. • On-time procurement processing. • Vendor follow-up efficiency. • Clean system updates and ticket hygiene. • Reduced billing discrepancies. When & Where YOU Will Work • Fully Remote (PH-based). • Monday to Friday ; Day-shift - AEST. • Company-provided equipment.
