Make.com Automation Developer Test Project AI Powered Meeting Intelligence System - Contract to Hire

We are looking for an experienced Make.com automation developer to complete a short test project involving an AI powered meeting intelligence workflow. This test project is designed to evaluate technical quality, structure, and reliability. Once successfully completed, long term and ongoing automation work will be available. This project focuses on building a privacy first automation that processes meeting audio recordings, transcribes them, extracts structured insights using AI, and writes results into Notion databases. This is a short term test engagement only. Long term tasks will be discussed after successful delivery. Project Scope The developer will build an end to end Make.com automation that performs the following Accepts audio input from two sources Local audio recordings captured via macOS system audio Manual uploads such as iPhone voice memo files from in person meetings Processes audio using the Whisper API for transcription Validates file size Implements chunking for files larger than 25MB Includes retry logic and error handling Uses an LLM such as OpenAI GPT to extract structured insights Meeting summary Action items with metadata Suggested tags based on existing categories Returns clean structured JSON output Writes results to Notion Creates meeting records with summaries and metadata Creates related action items in a task database Applies relations to existing Projects Topics and Areas Implements privacy controls Deletes audio files after transcription Deletes transcripts after AI processing Retains only structured insights in Notion Technical Requirements Strong Make.com experience with complex scenarios Notion API experience including database writes and relations OpenAI API experience including Whisper and GPT models Audio file handling including chunking and size limits Prompt engineering for structured JSON outputs Robust error handling and retry logic Environment and Tools Access to Make.com Familiarity with macOS audio routing concepts Webhook triggers and secure file upload workflows Strong JSON parsing and data transformation skills Nice to Have Experience with August Bradley PPV Notion methodology Google Calendar API experience Previous AI automation projects Understanding of NLP and sentiment analysis concepts Existing Infrastructure Already available Notion workspace with meeting task and related databases Preliminary Make.com automation that needs refactoring OpenAI and Notion API keys Needs to be built Production ready Make.com scenario Stable error handling and retries Audio chunking logic Structured prompt templates Notion write operations with relations Privacy compliant cleanup steps Expected Deliverables A fully working Make.com scenario Clear technical documentation explaining the architecture and data flow Prompt templates used for summarization action items and tagging A short user guide explaining how to trigger and review outputs Success Criteria Audio files upload and process successfully Transcription works for long meetings AI summaries are accurate and structured Action items are correctly created in Notion Auto tagging aligns with existing databases Audio and transcripts are deleted after processing The system can handle a 60 minute meeting end to end Privacy and Security Requirements No meeting bots No permanent audio storage No transcript retention API keys stored securely Authenticated webhook usage Application Instructions Please include the following in your application Experience summary including Make.com and Notion API work Your technical approach to handling large audio files and errors Availability and estimated completion timeline Relevant portfolio or documentation samples Start your application with the word Automation so we know you reviewed the full posting.
