1) About the Firm
Ellerra is a high-growth accounting and consulting firm located in Silicon Valley. We believe in hiring excellent people to provide excellent services to excellent clients, and we are looking for a dedicated and experienced Bookkeeper to join our client-facing accounting service team. Our fully remote team supports a portfolio of businesses with outsourced bookkeeping and Client Accounting Services (CAS). We care about accuracy, timeliness, and clear communication. 2) The Role (Position Overview)
As a Bookkeeper, you’ll own the day-to-day bookkeeping and month-end close for a portfolio of clients. Rather than performing all of the work yourself, you will primarily oversee the work of junior bookkeepers, coordinating as the client-facing representative of the firm on behalf of your team, ensuring they have the resources they need to complete their tasks, and reviewing their work prior to sending deliverables to clients.
You’ll be trusted to operate with autonomy: identify issues early, recommend improvements, and keep work moving without needing constant direction.
3) What You’ll Do (Key Responsibilities)
You’ll be responsible for owning outcomes, not just completing tasks. Key responsibilities include:
• Own bookkeeping for a portfolio of clients: multiple entities and industries, varying levels of complexity
• Lead month-end close: oversee staff who reconcile accounts, post journal entries, record accruals, and maintain close checklists to ensure consistency and timeliness
• Review (and sometimes perform) bank, credit card, and balance sheet reconciliations, investigate discrepancies, and document resolutions clearly
• Maintain clean, well-supported general ledgers; support GAAP-aligned reporting where applicable
• Manage and/or oversee AP/AR workflows (vendor/customer setup, bill pay, invoicing, aging review, collections support) depending on client needs
• Prepare and review recurring month-end deliverables (financial statements, close packages, and supporting schedules as required)
• Communicate proactively with clients: status updates, clarifying questions, requesting required documents (and following up on document requests), and plain-English explanations of bookkeeping items
• Support cleanup/catch-up projects: untangle historical issues, standardize coding, and bring books to a reliable close-ready state
• Contribute to process improvements across the firm (templates, checklists, standard operating procedures, automation opportunities)
• Review work completed by junior team members and provide clear, constructive feedback to maintain quality standards
4) Tools & Skills
We use a modern, cloud-based accounting stack. You should be comfortable working fully remote and collaborating across tools.
• QuickBooks Online (QBO): expert-level comfort (setup, cleanup, reconciliations, reporting)
• Month-end close workflows: reconciliations, journal entries, accruals, schedules, close documentation
• Excel proficiency: you can work efficiently with spreadsheets (e.g., pivot tables, lookups, SUMIF/SUMIFS)
• Comfort with remote collaboration tools (Teams, shared drives, task management, and documentation)
• Other tools we use (familiarity is a plus, not required): Xero, Puzzle.io, Campfire, Rippling, Gusto, Bill.com, Ramp
5) Qualifications (Required + Preferred)
Required
• Meaningful bookkeeping experience, ideally supporting multiple clients or multiple entities
• Practical understanding of accounting principles, including cash basis accounting, accrual basis accounting, and GAAP (generally accepted accounting principles)
• Deep experience with reconciliations and month-end close (you can independently drive a clean close)
• Strong attention to detail, organized workflow, and consistent deadline management in a remote setting
• Strong client-facing communication skills (written and verbal); you can explain accounting clearly and professionally
• Confidence working independently while escalating appropriately when needed
Preferred
• Experience in an accounting firm, Client Accounting Services (CAS), or outsourced accounting environment
• Familiarity with payroll tools and/or AP automation tools (nice to have, not required)
• QuickBooks Online certification (ProAdvisor) is a plus
6) What Success Looks Like (30/60/90 + ongoing outcomes)
First 30 Day (Foundation & Onboarding)
• Learn our workflows, close standards, and client communication expectations
• Take ownership of assigned client books and junior staff’s corresponding work with a clear understanding of timelines and priorities
• Maintain clean close checklists and identify any immediate risk areas (missing docs, reconciliation issues, cleanup needs)
By 60 Days (Reliable Execution)
• Complete month-end close steps accurately and on time for assigned clients with limited corrections required from manager or partner
• Reconciliations are clean, current, and supported with documented exception handling
• Clients receive proactive updates; fewer “where are we at?” follow-ups are needed
By 90 Days (Ownership & Improvement)
• Operate as the day-to-day owner for your client portfolio with minimal oversight
• Reduce recurring errors through improving our standardization and workflows (templates, rules, checklists, automation suggestions)
• Contribute at least one meaningful process improvement that strengthens quality and efficiency
Ongoing Outcomes
• Month-end close is consistently accurate, on-time, and well-documented
• Books stay close-ready; discrepancies are resolved quickly and clearly
• Clients feel informed and supported through communication that is proactive and professional
• Work is scalable: processes are repeatable, and quality is maintained as the firm grows

8) Compensation Transparency
$50,000 - $60,000/year salary, non-exempt (i.e. you are overtime eligible)
