Position Overview

The Data Entry Technician at arenaflex plays a critical role in the daily operations of the Office of the Clerk of Court and Family Court. This position blends routine clerical duties with moderately complex data processing tasks. You will be responsible for entering, verifying, and organizing vital court records while maintaining clear communication with internal staff, external agencies, and the general public.

Key Responsibilities

Core Data Management

  • Accurately enter adoption, name‑change, judgment, and order information into arenaflex’s court management system.
  • Summarize, tabulate, and format data according to established schemas to facilitate easy retrieval and reporting.
  • Perform routine quality‑control checks to ensure data integrity and resolve discrepancies promptly.
  • Maintain and update duplicate case files, ensuring that each copy reflects the most current information.

Document Handling & Distribution

  • Check files in and out daily, tracking movement to prevent loss or misplacement.
  • Pull, file, and distribute orders, judgments, and other legal documents to judges, staff, or external parties as directed.
  • Create and distribute the daily docket, ensuring all stakeholders receive timely updates.
  • Prepare, type, copy, and transmit a variety of documents, including civil and criminal records, correspondence, and memos.

Customer & Public Interaction

  • Answer inbound telephone calls, providing accurate information and routing callers to the appropriate personnel.
  • Assist the public, county departments, and partner agencies with inquiries, record requests, and procedural guidance.
  • Take detailed messages when necessary and ensure follow‑up actions are completed.
  • Handle difficult or upset callers with professionalism, de‑escalating situations while adhering to arenaflex policies.

Administrative Support & Continuous Learning

  • Perform routine clerical duties such as copying, faxing, filing, and assembling material packets.
  • Attend staff meetings, county‑wide briefings, and professional development workshops to stay current on policies, technology updates, and best practices.
  • Maintain office equipment (e.g., add paper, replace toner cartridges) to ensure uninterrupted workflow.

Essential Qualifications

Educational Background

  • High school diploma or GED equivalent.
  • Supplementary training, coursework, or self‑study equivalent to at least one year of college education in data processing, clerical studies, or a related field.

Experience Requirements

  • One to two years of experience in an office environment, preferably with exposure to legal or governmental record‑keeping.
  • Demonstrated ability to manage confidential information with discretion.

Certifications & Licenses

  • Must obtain or already possess a Notary Public certification.
