Asset / Project Manager – Non-Performing Loan & REO Portfolio
We are a systems-driven debt fund that actively manages a portfolio of defaulted mortgage notes and REO (Real Estate Owned) properties across multiple states. We are seeking an experienced Asset Manager who thrives in a structured, process-oriented environment and is comfortable using technology to manage complexity at scale.
You will oversee our non-performing loan (NPL) portfolio from acquisition through resolution, including loss mitigation, REO stabilization, and disposition. This is a remote, hourly role with a 90-day review period and the intent to convert to full-time employment based on performance and business needs. Travel may be required on an as-needed basis.
We are a systems-first team — and a phone-first culture. In this role, the phone is your primary tool. You pick up the phone first and use email to confirm and document. Every process is documented, every asset is tracked, and every update is expected on time and in the right place. This work involves conflict: borrowers in default, contractors who miss deadlines, attorneys who need pushing, and vendors who go silent. You must be comfortable initiating difficult conversations directly, without waiting for email to do the work for you. If you prefer to manage by inbox and avoid confrontation, this role is not a fit.
DutiesNPL Portfolio Management
• Proactively engaging servicers and attorneys, to drive resolution;
• Monitor and track loan status across the portfolio including payment history, legal timelines, and borrower communication, all logged in our systems
• Coordinate with servicers, attorneys, and internal stakeholders to manage foreclosure and loss mitigation pipelines; hold vendors accountable
• Review loan-level data and recommend resolution strategies (modification, short sale, deed-in-lieu, foreclosure, note sale)
• Maintain accurate, up-to-date asset files in SharePoint including loan documents, title reports, borrower correspondence, and legal updates
• Support collateral valuation by tracking BPOs, appraisals, property condition, and market data
REO Renovation & Stabilization
• Manage REO properties from acquisition through disposition or rental stabilization
• Build and maintain scopes of work, budgets, and project timelines, documented and tracked in shared systems
• Obtain bids, negotiate pricing, and award work to local contractors
• Coordinate inspections, punch lists, and final walkthroughs with clear milestone tracking
• Maintain complete project documentation: photos, invoices, lien waivers, permits, and approvals, all filed correctly and on time
Vendor & Property Management Oversight
• Identify, vet, and onboard local property managers, contractors, and trades across target markets
• Set and enforce reporting standards, SLAs, and escalation procedures using defined templates and workflows;
• Monitor vendor performance through established tracking systems;
• Coordinate property securing, utilities, trash-outs, and turnover readiness
Reporting & Asset Management Support
• Submit weekly asset-level updates on time, in the correct format, with clear status, risks, next steps, and target dates
• Maintain clean, accurate asset data across all tracking tools
• Work with internal stakeholders to align asset strategy with fund-level objectives
• Support fund reporting by keeping documentation current and accessible
Travel & Field Work
• Travel as needed to evaluate properties, meet vendors, and validate work quality in the field. Estimate travel 10% of time
• Conduct site walks and document findings with photos and structured field reports
QualificationsRequired
• 5+ years of experience in real estate asset management, construction project management, and/or property management
• Phone-first communicator: you initiate calls, drive decisions verbally, and use email to confirm and document, not to avoid a hard conversation
• Comfortable with conflict: you can push back on attorneys, hold contractors accountable, and have direct conversations with borrowers in default without hesitation or hand-holding
• Highly tech-savvy; you learn new software quickly, embrace systems, and can manage complex workflows digitally
• Deep proficiency in the Microsoft 365 ecosystem: Excel, SharePoint, Outlook, Teams, Loop, and OneDrive
• Strong Excel skills; comfortable building and maintaining trackers, dashboards, and budget models without hand-holding
• Experience using project management and task tracking tools
• Proven ability to manage multiple assets and projects across different markets simultaneously
• Contractor and property manager sourcing experience; vetting, onboarding, and managing to SLAs
• Clear, concise written communication; comfortable delivering structured updates on a defined cadence
• Valid driver’s license and willingness to travel as needed
Preferred
• Direct experience managing non-performing loans, REO assets, or distressed debt portfolios
• Familiarity with foreclosure timelines, loss mitigation options, and mortgage servicing
• Experience working with servicers, foreclosure attorneys, or real estate debt funds
• Exposure to CRM or asset management platforms used in the mortgage or real estate space
• Experience building or improving operational systems, SOPs, or workflow documentation
