Key Responsibilities
- Record Creation & Maintenance: Create, update, and review employee and client records across billing, payroll, processing, and customer service functions.
- Data Entry & Database Management: Accurately input information into arenaflex’s centralized databases to ensure reliable record keeping and easy retrieval.
- DocuSign Administration: Manage new and existing DocuSign accounts, troubleshoot access issues, and serve as the escalation point for DocuSign support inquiries from both operations staff and external customers.
- Document Preparation & Distribution: Prepare, format, and mail official documents while adhering to approved communication standards; ensure proper naming conventions and storage in the document‑management system.
- Compliance & Audit Readiness: Monitor and enforce compliance standards across all functions, preparing documentation for internal and external audits.
- Payroll Operations: Review timesheets, perform time‑tracking, proof and post payroll entries, and generate overlap and overtime reports. Resolve discrepancies and ensure payroll checklists are completed accurately for assigned agencies.
- Phone & Stakeholder Support: Answer inbound calls and initiate outbound communications to support internal teams, external clients, and agency partners, providing clear and courteous assistance.
- Invoice Management: Prepare, submit, and track invoices to agencies; apply payments, and pursue collection on unpaid claims.
- Administrative Support: Perform filing, copying, data entry, and other clerical tasks that keep the office running efficiently.
- Process Improvement: Identify opportunities to streamline GT (global transaction) processes, work with supervisors to develop error‑reduction strategies, and collaborate with colleagues to enhance service delivery.
