Position Overview

We are currently seeking a dedicated, compassionate, and cheerful Work-From-Home Bilingual Call Center Customer Service Representative who is interested in being part of a team that focuses on excellent service to others. As a vital member of our customer experience team, you will represent arenaflex by addressing incoming telephone, digital, and written inquiries from our valued patients and members.

This is a full-time position with a Monday-Friday schedule (8:45 AM – 5:15 PM), offering excellent work-life balance with weekends off. The position is remote, allowing you to work from the comfort of your own home while maintaining the same level of professionalism and connection as an in-office environment.

Key Responsibilities

As a Bilingual Customer Service Representative at arenaflex, your primary responsibilities include:

  • Phone Call Management: Answer phone calls professionally utilizing a multi-line telephone system. Ensure accurate and timely processing of all requests by taking appropriate actions such as scheduling appointments, taking messages, and transferring calls to appropriate staff members.
  • Documentation: Maintain thorough records by documenting discussions, messages, and actions taken to process inquiries. Ensure all patient interactions are accurately recorded in our systems.
  • Issue Resolution: Resolve patient issues through independent problem-solving with a goal of achieving first-call resolution. Demonstrate patience and empathy when dealing with upset or frustrated customers.
  • Digital Communication: Handle digital and written inquiries professionally, responding in a timely and comprehensive manner to emails and chat messages.
  • Team Collaboration: Foster teamwork and partnerships with cross-functional departments to resolve complex issues and improve the overall customer experience.
  • Compliance: Maintain knowledge of and strict adherence to HIPAA regulations and company policies regarding patient privacy and data protection.
  • Continuous Improvement: Contribute to process improvements by identifying patterns in customer inquiries and suggesting enhancements to our service delivery.

Required Qualifications

To be successful in this role, you must meet the following requirements:

  • Bilingual Proficiency: Must be fluent in English (read, write, and speak) and Spanish (speak). You will be communicating with Spanish-speaking patients regularly, so conversational Spanish is essential.
  • Technical Requirements: Must have a reliable cell phone and computer at home. Minimum internet speed for optimal performance is 10MB down and 1MB up. Satellite internet is not permitted for this position.
  • Customer Service Experience: Previous experience in a highly customer service-oriented environment is required.
  • Communication Skills: Strong organizational abilities and excellent written and verbal communication skills are essential.
  • Emotional Intelligence: Ability to remain calm, composed, and helpful even when dealing with upset or frustrated customers.
  • Technical Proficiency: Proficient with Microsoft Office applications including Microsoft Word, Excel, and Outlook.
  • Work Environment: Must be able to work from a dedicated, quiet home office space free from distractions during scheduled work hours.

Preferred Qualifications

While not required, the following qualifications will give you a competitive edge:

  • Experience in a medical office setting utilizing computer-based practice management software systems.
  • High school diploma or equivalent education.
  • Ability to handle high call volume and multi-task while providing an exceptional customer experience.
  • Experience with E-Clinical Works or other electronic medical records systems such as Epic, Athena Health, or NextGen.
  • Experience with Avaya telephony platform is desired.
  • Knowledge of and strict adherence to HIPAA regulations.
  • Previous experience in healthcare customer service or related field.

Additional Information

Work Schedule: Full-time position, 40 hours per week. Monday through Friday, 8:45 AM – 5:15 PM.

Interview Process: As part of our hiring process, we utilize an exciting interviewing technology called Modern Hire to enhance our hiring and decision-making ability. If you are selected for a first-round interview, you will receive an email correspondence inviting you to participate in a Modern Hire interview. In this interview, you will receive a set of interview questions over your phone and will provide recorded or text message responses to each question. You should anticipate this interview to take about 15 minutes. Your recorded interview will be reviewed, and you will subsequently be informed if you will be moving forward to the next round of interviews.

COVID-19 Safety: Associates are required to be fully COVID vaccinated, including booster, or undergo weekly COVID testing and wear a face covering while at work. The weekly testing will need to be done through an approved vendor, and unvaccinated associates should follow all social distancing and masking protocols if they are required to come into a facility or work outside of their home. If progressed to an offer, candidates will be required to provide proof of full vaccination, including booster, OR provide proof of applicable exemption including any required supporting documentation.
