Remote Executive Assistant – Architecture Firm
Remote Executive Assistant – Architecture Firm (6-10 hrs/week)
Small residential architecture firm in Fairfield County, Connecticut seeking a sharp, organized remote assistant to help manage communications and project coordination.
The Role
You’ll work directly with the firm principal to manage email correspondence, track project statuses across 30+ ongoing residential projects, and help keep things moving. This is a phone-heavy role: we’ll talk through emails together, review project lists, and work out priorities verbally. You’ll then handle the follow-through in writing.
What You’ll Do
• Review and draft emails, often by talking through responses together on a call
• Track project milestones and deadlines across multiple concurrent projects
• Follow up with municipalities, consultants, and clients as needed
• Maintain project records in Google Docs, Sheets, and AirTable (can train if required)
• Help the principal stay organized and on task
What We’re Looking For
• Excellent written and verbal communication
• Strong organizational skills and comfort managing many moving pieces
• Proficiency with Google Workspace (Docs, Sheets, Gmail)
• Available for phone calls during Eastern business hours
• Reliable, proactive, and able to work independently
Architectural experience not required. Marketing, business, or graphics background a plus.
Details
• 6-10 hours per week, flexible scheduling (potential to grow if the fit is right)
• Fully remote (must be within one hour of Eastern time zone)
• Competitive hourly rate

Tom,
I’ll check with the town. Last I heard we were waiting on the revised grading plan from the civil engineer before they’d schedule us.

Got it. I thought Dave sent that over last week? Maybe worth confirming.
Also, unrelated, but can you send me the latest floor plans when you get a chance? I want to review with my framing sub.

Thanks. Also the clients mentioned something about adding a covered porch on the back. Is that in the current drawings or would that be a change? If it’s a change, how does that affect the permit timeline?
