Senior HubSpot Consultant for Audit, Remediation & Ongoing CRM Development (Healthcare)
We are a healthcare company using HubSpot as our system of record for CRM, subscriptions, invoicing, and internal operations. HubSpot is integrated with Stripe for payments and Healthie as our EHR.
A previous contractor completed an initial HubSpot setup, including manual Stripe data migration, product and subscription configuration, and early automation. Before continuing to build, we are seeking a senior HubSpot consultant to independently audit the existing setup, correct issues, and then lead further build-out and optimization.
We are looking for someone who can validate the foundation and then take ownership of the system going forward.
Phase 1: Independent HubSpot & Billing Audit (Required)
You will first perform a comprehensive audit to confirm accuracy and identify risk.
Audit Scope Includes:
- CRM & Data Integrity
- Review contacts, custom properties, lifecycle stages, and associations
- Validate member vs payer relationships and historical data accuracy
- Identify duplicates, structural issues, or scalability concerns
- Billing, Subscriptions & Payments
- Reconcile HubSpot data with Stripe source-of-truth records
- Validate product library, pricing, discounts, and subscription logic
- Identify missing, duplicate, or inconsistent charges and payments
- Confirm invoice accuracy and reporting reliability
Integrations & Workflows
- Review HubSpot ↔ Stripe integration and data flow
- Validate existing workflows (renewals, reminders, tasks, automations)
Audit Deliverables:
- Written audit summary
- Prioritized issue list (critical / medium / low)
- Clear remediation recommendations
- Go-forward assessment on whether the system is safe to build on
Phase 2: Remediation & Stabilization
Following the audit, you will:
- Fix identified data, billing, and configuration issues
- Resolve known discrepancies (missing payments, duplicate charges, inconsistent pricing)
- Complete the transition to HubSpot-managed subscriptions
- Ensure HubSpot is the system of record and Stripe remains the payment processor
Phase 3: Ongoing Build-Out & Optimization
Once the system is validated, ongoing responsibilities may include:
- CRM & Data Model Expansion
- Finalize lifecycle stages, lead statuses, and key reporting fields
- Define how to track discharges, step-down transitions, and family contacts
Reporting & Dashboards
- Monthly operational and financial dashboards
- Membership lifecycle, churn, revenue, and outcomes reporting
Workflow Automation
- Intake and onboarding automation
- Renewal reminders and care coordination workflows
Required Experience
- Please apply only if you have:
- 5+ years of hands-on HubSpot experience
- Proven experience with HubSpot + Stripe billing and subscriptions
- Experience auditing and fixing existing CRM implementations
- Strong data reconciliation and systems design skills
- Comfort challenging prior work and recommending rebuilds if needed
Nice to have:
- Healthcare or regulated-industry experience
- HubSpot Admin / Operations certifications
