**Key Responsibilities**
As an Experienced Customer Service Coordinator, you will be responsible for:
* Preparing and distributing meeting minutes, following up on action items, and coordinating departmental meetings to ensure seamless communication and collaboration.
* Assisting with departmental projects and acting as a progress coordinator to drive timely completion and high-quality results.
* Developing and implementing internal and external service surveys to gather valuable insights and drive process improvements.
* Improving internal communication and developing proper updates to keep our team informed and engaged.
* Reviewing department procedures and suggesting ways to track compliance to ensure we meet our high standards.
* Driving performance excellence by working closely with all team members and gathering weekly updates to identify areas for improvement.
* Assisting with developing department training plans and tracking progress to ensure our team has the skills and knowledge needed to succeed.
* Preparing PowerPoint presentations for meetings, ensuring all content is clear and effectively communicated to engage our audience.
* Assisting in the preparation, editing, and distribution of CSI and BMS publications to share our expertise and thought leadership.
* Organizing documentation and improving report standards and data collection across multiple platforms to ensure accuracy and efficiency.
* Facilitating training sessions, including scheduling, to ensure our team has the opportunity to learn and grow.
* Collecting and organizing Key Performance Indicator (KPI) reports from various departments to support operational improvements and drive business growth.
* Coordinating budget tracking and approvals, ensuring alignment with departmental goals and objectives.
* Assisting with travel arrangements for team members and organizing meetings with affiliates to foster collaboration and partnerships.
* Coordinating asset audits to ensure compliance and accuracy of company resources.
* Organizing and coordinating visitors and department activities to ensure a smooth and welcoming experience.
* Standardizing forms, reports, policies, and shared data locations to improve efficiency and access.
* Providing insights for process improvements and supporting service excellence initiatives to drive business growth and customer satisfaction.
* Collecting and organizing feedback through surveys and opinion collections to identify areas for improvement.
* Managing the scheduling of appointments and meetings for the Customer Support team to ensure timely and effective communication.
* Preparing expense reports and tracking departmental spending to ensure transparency and accountability.
* Maintaining an organized filing system for electronic and hard-copy documents to ensure easy access and retrieval.
* Assisting in onboarding new employees by preparing necessary materials and conducting orientations to ensure a smooth transition.
* Coordinating office supplies inventory and reordering as necessary to maintain adequate stock.
* Serving as the point of contact for administrative inquiries from internal and external stakeholders to provide timely and effective support.
* Supporting project management efforts by tracking timelines, deliverables, and communications to ensure successful project outcomes.
**Essential and Preferred Qualifications**
* Education: Bachelor's Degree; or Associate's degree with two years of experience; or equivalent combination of education and experience.
* Advanced proficiency in Microsoft Office 365 (SharePoint, Teams, Excel, PowerPoint, etc.).
* Strong organizational and multitasking skills with attention to detail.
* Demonstrated ability to analyze processes and implement improvements.
* Excellent verbal and written communication skills.
* Ability to work independently and collaboratively in a fast-paced environment.
* Proven problem-solving skills and ability to manage multiple priorities effectively.
* Travel domestically and internationally up to 5% of the time.
