Position Overview

We are seeking a detail‑oriented, self‑motivated Remote Data Entry Assistant to join our Administrative Department on a part‑time basis. • Enter all complaints and citations submitted by law‑enforcement officers and members of the public into the statewide court database.
  • Maintain the highest level of confidentiality for all legal, financial, and personal data.
  • Post payments, issue receipts, balance daily cash flow, and prepare bank deposits in accordance with financial policies.
  • Manage payment plans, generate monthly bookkeeping reports, and issue printed checks for approved disbursements.
  • Log and track events such as applications, telephone messages, hearing dates, and case decisions, ensuring timely updates to the system.
  • Provide virtual receptionist support: greet virtual visitors, direct inquiries to the appropriate department, and keep communication channels professional.
  • Prepare outgoing mail, process incoming correspondence, and maintain an organized electronic filing system.
  • Monitor office‑supply inventory, place orders when thresholds are met, and coordinate deliveries to remote workstations.
  • Compose, proofread, and format draft and final technical documents using word‑processing software; ensure correct spelling, grammar, and layout.
  • Collaborate with supervisors to perform additional duties as needed, demonstrating flexibility and a willingness to learn.

Essential Qualifications

  • Education: High School Diploma or equivalent; additional coursework in business administration, legal studies, or related fields is a plus.
  • Experience: Minimum of one year of professional data‑entry or secretarial experience, preferably in a legal, court, or public‑service environment.
  • Technical Proficiency: Strong working knowledge of Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Gmail).
  • Accuracy & Speed: Proven ability to type at least 60 words per minute with a high degree of accuracy (error rate < 2%).

  • Exposure to Positive Behavior Intervention Supports (PBIS) strategies or willingness to complete training in this area.
  • Familiarity with basic bookkeeping principles and financial reconciliation.
  • Experience delivering virtual receptionist or client‑service support in a fast‑paced environment.
  • Certification in office administration, data management, or related professional credentials.

Core Skills & Competencies

  • Attention to Detail: Ability to spot inconsistencies and correct errors before they affect downstream processes.
  • Time Management: Skillful in prioritizing multiple tasks, meeting strict deadlines, and managing workload independently.
  • Problem Solving: Quick to identify obstacles, propose practical solutions, and follow up to ensure resolution.
  • Adaptability: Comfortable navigating evolving software platforms, procedural updates, and shifting priorities.
  • Customer Service Mindset: Friendly, professional, and patient when interacting with the public, law‑enforcement personnel, and internal teams.
